What happens to your information
From the moment you submit, here is exactly how Chris Fick handles your details.

- Synced to secure storageYour documents are filed into Chris Fick's secure OneDrive for the firm's records.
- Sanction screeningRequired sanction and PEP screening is run through KYCopilot, as the FIC Act requires.
- Stored securelyEverything is stored encrypted and kept only as long as the law requires.
What you'll need before you start
It helps to have these ready, but you can also stop and come back later.
- A South African ID or passport (for each person involved)
- A recent proof of address (last 3 months)
- A tax number (yours or your entity's)
- An email address you can check today
Companies and trusts need a few extra documents (like a registration certificate or trust deed). We'll guide you through it inside, nothing to prepare upfront.
Is this safe?
- Data in transit is encrypted (HTTPS/TLS).
- Data at rest is encrypted (AES-256).
- Only Chris Fick staff can view your questionnaire and documents.
- We handle your information in line with South African privacy law (POPIA).
Your consent
Before you upload your documents, you'll be asked to confirm:
“I understand Chris Fick & Associates will use my FICA information for client onboarding and compliance purposes. I authorise secure storage and processing. I have read the privacy notice.”
How long we keep it
Your FICA information is kept for 5 years, as required by the FIC Act, and then securely disposed of.
